How to choose the right IT partner — consider at least these 6 things

An efficient and reliable IT partner can be crucial to the success and growth of many companies. However, choosing the right partner can be a challenging task when there are many options available. Let's take a look at what factors should be taken into account when choosing an IT partner.

Recently, sustainability has also raised its head when choosing partners. One factor guiding sustainability is the European Union's Corporate Sustainability Reporting Directive (CSRD), which aims to guide companies to act more responsibly. The Corporate Sustainability Reporting Directive, or CSRD for short, introduces new reporting obligations for organizations.

The reporting requirement divides emissions into three different categories:

  • Scope 1

  • Scope 2, and

  • Scope 3

The last of which also includes emissions from the organization's IT infrastructure.

On average, for example, in organizations that perform expert and data-intensive work, IT emissions can be one of the largest sources of emissions. When choosing a new IT partner, it is a good idea to also keep in mind your organization's sustainability goals, as a competent IT partner can, in the best-case scenario, save both costs and reduce emissions from your IT infrastructure.

1. Determine your needs and goals

It's a good idea to first define your company's needs and goals when choosing a new IT partner. It's important to consider what kind of functionality a new IT partner should be able to offer.

  • What are the current challenges of your IT infrastructure?

  • What do you want to achieve with a new partner, e.g., sustainability, efficiency, savings, or better collaboration?

  • Does your company have an internal IT team, and is it planning to outsource certain areas, or is it necessary to outsource all IT functions?

  • What is your company's IT budget, and what should the budget enable?

  • Is it your wish to receive all necessary IT services from the same supplier, or is it necessary to decentralize areas?

  • How are different areas of IT currently managed in your company, and which ones need development: centralized device management, IT support services, networks, and information security?

  • How do you want to acquire IT equipment in the future: by purchasing it on your own balance sheet, IT equipment as a service, or perhaps through a leasing model?

2. Assess the partner's skills and experience

Research the skills and experience of potential partners. Familiarize yourself with the potential IT partner's previous projects and references.

  • Do they have experience with similar projects or in the industry you operate in?

  • Do they specialize in certain technologies or industries?

  • Are they committed to sustainable development principles? How do they manage and report, for example, energy consumption or carbon footprint?

  • Will a potential IT partner be able to report on the sustainability of your IT infrastructure, or will it be up to your own company to figure out the numbers?

  • Does the IT partner specialize in a specific segment of the market and therefore have expertise in a specific area?

3. Check reliability and reputation

Reliability is key when choosing an IT partner. Check their customer satisfaction, any certifications, and reputation in the industry. You can read reviews and ask the IT partner for more detailed references, which you can contact if necessary.

4. Communication and collaboration

Good communication and collaboration are essential to a successful partnership. Make sure the partner you choose can communicate clearly and that they truly understand your business needs. The services of a knowledgeable and flexible IT partner will, at best, feel as if no aspect of IT has been outsourced outside the house.

5. Pricing and contracts

Find out about the partner’s pricing model and make sure it fits your IT budget. However, don’t choose a partner based solely on price; the cheapest option may not be the best in the long run. When making purchases, it makes more sense to look at the cost over the entire lifecycle of the purchase, not just the price at the time of purchase.

Also, check the terms of the contract carefully and make sure that they are fair and clear for both parties. A competent IT partner can provide cost-effective solutions that also promote sustainable development and create the conditions for your company to grow.

6. Test compatibility

Before making a final decision, test the compatibility between the IT partner and your company. For example, arrange a trial period or pilot project where you can evaluate the partner's operations in practice.

When choosing an IT partner, it is important for a company to make a careful and considered decision. Consider your company's needs, the partner's expertise and reputation, communication, pricing, and compatibility. Follow these steps, and you will find the right IT partner for your company, who will remove obstacles from an IT perspective and create the opportunity for uninterrupted work.

When choosing an IT partner and supplier, it is also important to consider your company's current situation in terms of turnover and number of employees, and be able to mirror it to future goals. Will the selected IT partner be able to participate in your company's growth?
