SwanIT Oy respects the privacy of every person who uses its services. This is an information document for SwanIT Oy's customers and potential customers in accordance with the EU General Data Protection Regulation. The privacy policy describes our practices regarding the collection, use, publication and transfer of information, to which the privacy policy applies. The privacy policy takes into account the EU General Data Protection Regulation, the legislation in force in Finland and the instructions and recommendations issued by the Data Protection Commissioner.

Why do we process your data?

Personal data refers to any information about a natural person or their characteristics or living conditions that can be identified as relating to them or their family or those living in the same household. It is irrelevant how or on what platform the information is stored.

Personal data is collected and processed for the purpose of maintaining, developing and managing customer relationships and other relevant contacts. In addition, the purpose of data processing is customer communication and marketing, delivery of an electronic newsletter, including direct marketing and opinion and market research. Personal data is not used for automated decision-making or profiling.

What information do we collect?

We process customers' personal and contact information as well as other information necessary for managing the customer relationship and implementing the customer's agreement.

Our register contains the following identifying information about individuals, if the individual has provided it.

  • First and last name

  • The company or entity the person represents and their contact information.

  • Phone number

  • E-mail address

Email messages are processed by the person to whom you have addressed your message.

Contact forms

SwanIT Oy's website contains contact forms to improve the customer experience and speed up the contact process. In all contact forms, we collect personal data from customers so that we can identify and respond to customer contacts. Personal data includes name, email address, telephone number and other additional information entered by the customer. We also collect the user's IP address and browser version information to help identify spam messages. We retain this personal data for two years, unless otherwise required by law.

Cookies

Our website uses cookies. A cookie is a small text file that is sent to and stored on the user's computer, which enables, among other things, basic website functions and helps to recognize visitors to the website.

Blocking the use of cookies

The user is asked on the first visit whether they want to accept or reject the use of cookies.

Alternatively, the User can also specify in their browser settings whether they want to accept or reject the use of cookies. The User can also specify the browser setting to notify the website about the use of cookies, in which case the User can accept the use of cookies on a case-by-case basis.

Analytics (Google Analytics & Leadfeeder)

Statistical visitor data is collected from the online services, for which the Google Analytics program provided by Google (Google Inc.) is used, which facilitates monitoring of the use of the site. For this purpose, Google Analytics uses cookies, which are text files that are transferred to the user's computer. The information generated by cookies about the use of this website is transferred to and stored by Google. The user's IP address is anonymized before it is sent to Google. In accordance with its Privacy Shield certification, Google declares that it complies with the EU-US Privacy Shield arrangement. Google may provide the data collected by Google Analytics to third parties where required by law or where third parties process the data on Google's behalf. According to the Google Analytics terms of use, Google does not connect the IP addresses of data subjects with any other data stored by Google.

Regular data sources

Data is collected from the User himself, among other things, through an agreement concluded with the controller or in connection with contact, verbally or in writing. Participant data is collected in connection with events and training. Data can also be collected and updated from the registers of the controller providing address, update or other similar services, and by collecting information from public sources. Data about individuals can also be collected through websites with their consent.

Personal data protection and data security

The electronically processed information contained in the register is protected by firewalls, passwords and other necessary technical means of information security generally accepted in the industry at any given time.

Regular disclosures and transfers of personal data

The controller may disclose personal data to service providers only for purposes that do not conflict with the above-mentioned purposes of processing personal data. There is a Data Processing Agreement (DPA) between the controller and the processor.

Transfers of personal data outside the European Union or the European Economic Area

Information from the register will not be disclosed outside the European Union or the European Economic Area unless it is necessary for the technical implementation of data processing.

User rights

In principle, the user has the right, in accordance with applicable data protection legislation:

  • to be informed about the processing of their personal data

  • to gain access to one's own information

  • demand the correction of inaccurate and incorrect personal data

  • request the restriction of processing or the erasure of their personal data; and

  • withdraw their consent and object to the processing of their personal data to the extent that the processing of personal data is based on the Customer's consent and there is no other
    basis for it.

The Customer must submit a request to the Controller in writing regarding the exercise of the above-mentioned right. The Controller may ask the User to clarify their request and verify the Customer's identity before processing the request. The Controller may refuse to execute the request on the grounds provided for in applicable law. 

Each Customer has the right to lodge a complaint with the relevant supervisory authority or the supervisory authority of the European Union member state where the Customer's place of residence or workplace is located, if the User considers that his or her personal data has not been processed in accordance with applicable data protection legislation.

Changes to this privacy policy

This privacy policy may be updated from time to time, for example due to changes in legislation.
